New digital account application launched via Formcycle

Dear colleagues, dear employees at the Viadrina,

As of now, a digital account application via Formcycle is available at the European University Viadrina. This makes the process of applying for and renewing associate accounts much simpler, more transparent and more efficient.

The new application replaces the previous manual processes and enables structured digital recording and forwarding of data to the relevant departments. The aim is to standardise the management of accounts for lecturers, associates and external users and reduce the processing workload.

Information on the account type

The account type depends on the status at Viadrina and is selected accordingly in the digital form. The following options are available:

● Employees

● Members of the Viadrina / Associates

● External parties

● Retired professor

● Functional email address (for members or associates of the Viadrina)

Terms and regulations

All accounts have a term of maximum one year and must be renewed afterwards.
Exception: Employee accounts are valid for the duration of the employment contract.

Definitions of the account types

Employees
These include university lecturers, academic and non-academic employees of Viadrina, including civil servants and student employees. They receive full access rights to the Viadrina services according to their activity

Associates
These include, for example, private lecturers, honorary professors, visiting researchers or doctoral students (without an employment contract), i.e. persons who need an account due to a longer-term cooperation with the Viadrina, but are not in an employment relationship and are not enrolled.
The term depends on the duration of the stay, but is a maximum of one year. There are restricted rights

for employee accounts.

Externals
These include lecturers, IT service providers or other persons who work on behalf of Viadrina but are neither students nor members of the university. An account is only issued in justified exceptional cases, e.g. in the case of a teaching assignment in accordance with the teaching assignment guidelines. These accounts have restricted rights and their email address contains the abbreviation ".extern".

Retired professors
Retired employees confirm their account renewal by email and not via the form.
